How Changes in Office Products Can Increase Productivity

One of the main keys to success for any business, no matter the industry, is efficiency. If you can increase efficiency without significantly increasing your overhead you can make a profound change in your business and see a measurable increase in profits.

Tightening up around the office, however, can be tricky. Efficiency is like air conditioning, slowly and unsuspectingly escaping through cracks under windows and doors. With focus, dedication and a commitment to perfection you can find areas in your business where small tweaks can lead to dramatic improvements.

The only ways to evaluate your business’ productivity and find that illusive room for improvement is by carefully studying and assessing every aspect of your business (which will also help you acquaint yourself with the intricacies of your company) and through trial and error.

Every business is different, so it’s up to you to determine how to improve the efficiency of your employees’ daily routines. Time is money, so simply reducing the amount of time it takes employees to complete routine tasks will amount to increased profits.

One area where all businesses should look to improve is with their business supplies and office furniture.

Ask your employees honestly about the products, equipment and software that they use. If they’re unhappy about something try making a change. If the change doesn’t work out you can always switch back. You might improve productivity simply by having a happier employee.

Simply adding a second monitor can increase your IT specialist’s productivity by 40%.

Your employees will know the intimate details of what it takes to do their job better than you do. Listen to them! Not to mention, you will establish another key ability to a successful business – having information moving from the top down and from the bottom up. If there are open lines of communication between employees and the higher-ups it’ll be easier to make necessary tweaks to specific projects or deals.

Changing the organizational system within your office can pay huge dividends. This might seem obvious, but utilizing labeled file folders and easy access filing cabinets can dramatically improve the e
fficiency and organization of your workplace. Make sure that where documents are stored is easily accessible and makes sense. It might save room to keep filing cabinets in a back closet, but if employees need to access the filing cabinet regularly then having them out of the way is slowing your company down.

Considering the layout of your office is another simple way to improve efficiency without added costs. Sometimes an employee has to walk across the entire office to use a machine, file away a document, or get a specific product. Find a way to have everything an employee will need throughout the day as close to them as possible.

Where do you’re employees sit? Employees who need to communicate regularly throughout the day should sit near each other. Move office equipment to a central location, or if only certain employees use a particular machine, place it near them. Rearranging your office slightly might have a huge impact on the efficiency of your work place.

Finally, look into your business relationships to make sure those connections you rely on to provide your business with goods and services are the best fit for you. Changing your utilities provider, your phone company, your delivery service or your office products supplier can really improve the performance of your company.

For example, landlines and phone lines are practically obsolete, yet many businesses still utilize them. A VoIP phone system will provide you with telephone service through your high-speed Internet connection. By eliminating the cost of an extra phone line this reduces your telephone costs by about 50%. Not to mention, Internet phone services come with a slew of helpful features for businesses.

Ordering your office products online can save you money (no sales tax!) and time. Not only will you get discounts for buying in bulk but all your office supplies will be delivered to your doorstep. As you review your relationships, think outside the box. Consider local office supplies wholesalers and online options, as well.

Improving the efficiency and productivity of your business is simply getting to know your business and understanding what it takes to run it smoothly. Crunch the numbers, try different options and you’re bound to find changes that improve how your company does business.
