Why Online Faxing is the Ultimate Corporate Faxing Solution

One of the principal goals of any business owner, CEO, or manager is finding ways to cut overhead while still efficiently achieving your business goals. By dumping your old fax machines and servers, and switching to an online faxing service, you will not only cut the costs of hardware, maintenance, fax lines and supplies, but you will increase the speed and efficiency of your business.

Stand-alone fax machines can be incredibly and unexpectedly expensive. Not only is the physical fax machine expensive, but paying for a phone line will be pricey as well. Multiple fax machines, with multiple phone lines, sending many faxes a day can really rack up an expensive tab. Managing, maintaining and repairing them will add to the bill. With an internet fax service you can cut all these expenses out.

Fax servers are essentially computers equipped with software to handle faxing necessities. While they tend to be more efficient and less maintenance-needy than fax machines, they still can only handle one fax or user at a time.

Internet faxing, on the other hand, takes no hardware (thus also cutting the cost of maintenance) and it gives you the option of sending multiple faxes at once from any computer or smart phone. All you need to send or receive an online fax is the internet and an Email address. In fact, sending an internet fax is as easy as sending an Email.

From your home, office, or even while you’re on vacation, with internet faxing you can send and receive faxes from anywhere. With an internet fax service your faxes will be waiting in your Email whether your computer or smart phone is on or off. You can take a vacation while never being out of reach from your office or clients.

The Benefits of Internet Fax Services

There are many benefits to switching from physical, hardware based faxing options to an internet fax service that allows you to fax online. We’ve already discussed cutting costs, and increasing speed and flexibility, but online faxing also provides you with tools to analyze the effectiveness of your overall business faxing system and manage the documents you are sending and receiving. The simple fact that you no longer have to wait for a fax will have a profound impact on your office efficiency.

Some internet faxing services provide usage and billing reports that include departments or even individuals within your office. You can see exactly who is using the service and how often. In case you need to refer back to a fax, all your faxes – both sent and received – can be stored.

With a standard, physical fax machine the document is sent and received as is. With online faxing you can manage and edit both incoming and outgoing faxes. You can even attach other documents from your computer to it. Many internet faxing programs are compatible with any Microsoft Office program. Whether your fax is a Word document or an Excel spreadsheet you will be able to make changes to it if necessary.

As I briefly touched on before, if you have to send the same fax to several different clients, an online fax service can do that at once. Send the same fax to a partner in California, your bosses in New York, and your client in Florida all at the same time.

In the business landscape we live in today, time and efficiency affect your profits. If your fax machine is slow, inefficient, or constantly breaking down, you are losing time and money. Look into online faxing and streamline your business communication.

We use online fax service at work and got rid of all fax machines. Our Onesuite fax service saves us from buying inks and toners and not to mention papers that will just go to waste. Sooner or later all fax will be sent via the internet.
